The Item master is one of the foundation stones for all the Supply Chain products in any ERP suite of products. The number of items in the Item Master depends on the nature and size of business. The count of Items in an organization’s portfolio could run from few hundred to hundreds of thousands. Every Item Master needs periodic cleanup and updates at some frequency based on the needs of an ever-changing business. Some industries could demand the daily activity of adding new Items and modifications of the attributes of existing items. The cleaner the Item Master the less chance of mistakes and the wrong product pulled for internal or external use. Adding Items and maintaining correct and up-to-date attributes is part and parcel of Inventory management.
If done manually, maintaining the Item Master is a cumbersome activity for inventory Managers. Errors in Items or attributes could mean a loss of inventory value, unwanted stock or Inventory shortages of required items. At some point, internal audits may trigger a recommended item master clean up to weed out the redundant items from the “active” list, a review of alternate items that truly are a substitute or replacement for a requested item and several other Item-related issues that deed addressing. In most organizations this is a planned activity Inventory Managers will do on a regular basis and dedicate resources to review the content of the Item Master list and make the necessary corrections on a regular basis.
Frequently in any organization there could be daily requests to add more Items to the Item Master from various groups. Manual entry of all the attribute field values while creating a new Item for the Item Master would call for adding information on 20 to 30 pages which is a certainly a cumbersome task. Many times the staff will simply try to add just the basic minimum required fields/attributes for new Items to complete the addition of a new Item in a timely manner. Businesses in expansion mode may add new Business Units/Warehouses and require Inventory Managers to quickly load the Items stocked to the new Business Unit/Warehouse to start up the operations. In order to push the Items into the new Business Unit/Warehouse and to populate the Item Master the managers need powerful and time-saving tools to handle this complex task.
PeopleSoft Inventory provides a powerful tool “Item Master templates” for making the task of adding new items less of a manual effort for populating and maintaining your Item Master. By leveraging these Templates, an organization can create business-specific data entry pages with only the information important to their business. The Template can be configured to have default values automatically populated into the various fields, thus eliminating the need for manual data entry and might remove the possibility of data entry errors. For downstream changes and maintenance, using the “Change List Template” Item Master maintenance may be done with considerable ease when compared to manual efforts. The “Change List Template” functionality enables the mass update of Item attributes to all Items or a range of items matching the specific selection criteria.
